Role Of Office Manager In An Organization

Role Of Office Manager In An Organization – Today, we appreciate and celebrate our colleagues who work as admins, who all make our jobs a little easier. We appreciate the support of our colleagues and thank them for their tremendous help in the workplace. Working in admin is not an easy job: it requires time management, efficiency and good people skills. In honor of Administrative Professionals Day, we sat down with Yvonne Meyen, our Office Manager in Munich, who shared her best tips with us on how to be most efficient at work, whatever your role.

As an Office Manager, you’re responsible for keeping everything (and everyone!) running smoothly and efficiently. How would you describe workplace efficiency?

In my opinion, efficiency means making the most of available resources. If there is a certain task on the team that someone can complete faster than me, then that person should complete it. As a result, I can focus on other tasks that I am good at. Also, remember to ask someone for their opinion so you don’t overlook something important.

Let’s be honest, sometimes not at all! I came home, was busy all day, and still didn’t get anything off my list. Every day I look at my list or agenda and try to complete the things that are important for the day. It’s all about listening to the current task, getting the little things done right away, and “filtering” the rest.

Additionally, it’s important to realize that you can’t handle everything in one day, and you have to accept that. You can’t keep taking the work home and thinking about it all the time. Of course, when I get home, if I think of something I really have to do, then I write myself a reminder for the next day.

At work, I use Microsoft Planner. This works especially well when lots of people are working on the same topic and have to cover each other. Personally, I use the reminder feature in my calendar (for things that only affect me) or the Microsoft To-Do app (for items that affect me and my partner) to keep things on track.

I try to prioritize different topics. Sometimes I need a sense of success and overcoming a lot of small/simple problems in a short time, so I can see the list getting shorter and shorter. Experience also taught me to plan buffers against the unexpected.

It’s important to be pragmatic, including setting appropriate “filters” for when someone wants me to get something done. Being urgent for others doesn’t necessarily mean it’s a top priority for me, so I try to balance everyone’s priorities with my own. Because we are a team, I can also convey problems to my colleagues.

It’s also a good idea to ask follow-up questions, such as “When do you need it?” or detailed questions to better understand the context or define the task. Additionally, I try to schedule topics that require silence and concentration in the morning or afternoon when fewer colleagues are in the office.

In daily work life, you have to face many unexpected events. What helps you stay calm on stressful days?

2. The problems my coworkers bring to me are usually easy for me, and I can provide meaningful support to them with little effort on my part.

3. Sometimes, I feel a little overwhelmed, so I take a break and take a deep breath. After that, I felt better and had a new perspective on things.
